1. Who we are

South Lake Sirens (the "Team", "we", "us") operates this website and the related sign-in, waiver, and registration tools. We are a youth girls flag football organization based in the South Lake area. Questions about this policy can be sent to info@southlakesirens.com.

2. Information we collect

We collect information you provide directly to us, including:

  • Athlete information: name, age, grade, school, position, address, phone, email, and disclosed injury history.
  • Parent / guardian information: name, address, phone, email, and signed waiver consent.
  • Signed waivers: printed name, drawn signature image, waiver version, and timestamp.
  • Inquiry & application data: any message, interest form, or sponsorship request you submit.
  • Media: photos and video captured at team events under the media release in the waiver.
  • Technical data: basic log data (IP address, browser, pages visited) collected automatically by our hosting provider for security and analytics.

3. How we use information

  • To register athletes and manage roster, schedule, and team rostering.
  • To communicate about practices, games, events, and team news.
  • To maintain signed legal records (waivers, media releases).
  • To respond to inquiries, applications, and sponsorship requests.
  • To promote the team via approved photos, video, and statistics.
  • To protect the safety of participants and comply with the law.

4. Children's privacy (COPPA)

The Team works with athletes under 13. We collect personal information about minors only with verifiable parent or legal guardian consent provided through our waiver and registration process. Parents may review, update, or request deletion of their child's information at any time by emailing us. We do not knowingly allow minors to create accounts or submit information without a parent's consent.

5. How we share information

We do not sell personal information. We share information only with:

  • Coaches, staff, and league officials who need it to run the program.
  • Service providers who host our website, database, email, and roster tools under confidentiality obligations.
  • Authorities when required by law, subpoena, or to protect participants.

6. Data storage & security

Data is stored on managed cloud infrastructure with encryption in transit and at rest. Access to personal data is restricted to authorized team administrators. No method of transmission or storage is 100% secure; we work to follow industry best practices.

7. Retention

We retain athlete, parent, and waiver records for as long as the athlete is involved with the Team and afterwards for the period required to comply with our legal, insurance, and recordkeeping obligations. Inquiry messages are retained while operationally relevant and then deleted.

8. Your choices & rights

You may request access, correction, or deletion of personal information about yourself or your child by emailing info@southlakesirens.com. You may withdraw the media release at any time; previously published material may not be retrievable. Depending on where you live, you may have additional rights under the CCPA, GDPR, or similar laws.

9. Cookies

We use a small number of strictly necessary cookies to keep administrators signed in and to remember UI preferences. We do not use third-party advertising cookies. See our Cookie Policy for details.

10. Changes

We may update this policy. The "Effective" date at the top reflects the latest version. Material changes will be highlighted on the website.
